The member asking to pause is asking to stay

Somebody is travelling for two months, recovering from surgery, pregnant, or called up for reserve duty. They do not want to leave; they want to not pay for a gym they cannot reach. A club that makes that easy keeps a member. A club that makes it hard has turned a pause into a cancellation, and will never know that is what happened.

A freeze and a cancellation are opposite events

One is a member telling you they intend to come back; the other is a member telling you they do not. Clubs that route both through the same form, with the same friction, are treating the loyal case as a threat. The whole point of a published freeze policy is that the member can see the option exists before they start looking for the cancellation page, because once they are on that page the decision has usually already been made.

Name the reasons, because people assume theirs does not count

Travel, injury, surgery, pregnancy, reserve duty, a period working abroad. A member who cannot see their own situation listed assumes the answer is no and acts accordingly. Listing the accepted reasons - and saying plainly which need documentation and which do not - converts a conversation that would have happened at a desk, reluctantly, into a form that happens at eleven at night.

The four facts that decide every one of these requests

The minimum and maximum duration, whether there is an administrative charge, whether the contract term extends by the frozen period, and how it is restarted. Clubs usually publish none of them and answer them individually, inconsistently, for years. Those four sentences are the entire policy, they are answerable by software, and getting them wrong at the desk is the complaint that ends up public.

What software may do, and the line to hold

It may explain the policy, collect the dates, record the reason in the member's own words and say exactly what happens next. It may not approve the freeze, because that changes a contract and sometimes needs a document checked by a person. The useful design says both halves out loud: here is what I have recorded, here is who confirms it, here is when you will hear - and the member stops phoning to ask.

Frequently asked questions

Can the assistant approve a freeze?
No. It can take the request completely - dates, reason, whether the member has supporting documentation - and tell them who confirms it and when. A freeze alters payment terms, and a written approval that a club then declines is worse than a slower honest process.
Should we charge for freezing a membership?
Whatever you decide, publish it rather than mentioning it at the point of request. The charge itself annoys people far less than discovering it after they have asked, and a member who saw the figure in advance treats it as a term rather than a penalty.
What about reserve duty or military service?
It deserves its own line in the policy rather than falling under a general clause, because the member is usually asking at short notice and under pressure. State what documentation you need, whether the term extends, and that the request can be made without visiting - which is often the part that matters most.
How do we stop freezes being used to avoid a minimum term?
By publishing the limits, which is also what makes the policy usable. A maximum duration, a cap per year and whether the contract extends are the three terms that answer this, and a club that states them has no need to interrogate individual requests.
Is a freeze request worth recording as a signal?
It is one of the most useful signals a club has and almost nobody reads it. The reasons cluster - a wave of injury freezes from one class, travel freezes every August - and that pattern tells you something about the programme or the pricing that no survey will.
